Request a
 New Ministry Idea or 
an Outside Organization Event:

  • There's a 5-week turnaround for the approval process.
  • Gateway's Senior Staff will provide possible calendar dates (based on dates requested and current ministry calendar). 
  • Please consider existing facility schedule,  prior to submitting requests for specific dates.
  • Be aware that we will only host events for outside organizations who hold an active 501(c)(3) status.
Step 1 - Where to start
Discuss the idea with your Supervisor/Director. If the idea is being proposed by a lay person from within our church family, a staff member will need to partner with that church member and follow the steps below. 
Step 2 - Fill out the proper form
Fill out the Event Approval Form for "A, B, C" tier events or the Facility Request Form for "D" tier events.
Step 3 - Schedule a meeting
The staff member speaks with the Director of Ministry Operations to arrange to meet with the Executive Team (Senior Staff) to discuss the idea.
Step 4 - What Happens Next?
Executive Team discusses and will qualify the proposal as either:
  • a new Ministry Idea - events or ministry teams emerging from this idea are under the ongoing direction of a staff member and align with Gateway's current mission, vision and action plan.
  • a Ministry Extension** – a staff member will steward this event as part of their ongoing relationship with the outside entity. Event may or may not be charged a fee to use our facility.
  • a Building Rental** – an outside organization rents our space
  • a Church Partnership** – we advocate for and work together, waiving our rental fee. The organization works under the stewardship of a staff member to insure adherence to our policies and procedures.
  • Not Approved
**Once a Ministry Extension, Building Rental or Church Partnership is approved, an authorized representative of the outside organization must complete and submit our Building Use Agreement.

  Prepare for questions Senior Staff will ask:

Belief alignment and required church resources:
  • Does this event align with our mission & vision?
  • Are the human and physical resources required for the new event something we are able to provide at this time?
  • What's the cost? Is it in the ministry budget? How would we cover our costs?
Additional Questions for hosting an Outside Organization:
  • What are the beliefs of the outside organization?
  • Will this organization be a ministry extension, building rental, or church partnership?**
  • Are you building a long-term relationship?
  • Are there liability/legal/insurance issues?
  • Is this organization a for-profit or not-for-profit organization?
  • Which staff member will be on-site during the proposed event?
  • Is it a one-time or recurring event?
